Board of Directors Meeting
April 12, 2016

SAHS Board of Directors present included:  Rand Williams, Dorothy Honadel, Linda Wiley, Laurie Hayes, John Ladson, Leo Orme, Don Matthesen, Bart Trucano, and Dennis Walkins.    Don Simons and Leo Orme were absent.

OLD BUSINESS
 The venue was discussed for the May 3, 2016 program "The Development of the Ampitheater".   With so many unknowns such as weather, attendance, parking, building requirements, and refreshment requirements, it was decided to change the venue to the Spearfish Senior Citizens Center.   Rand will contact Paul Higbee and Laurie will correct the newspaper posting.

Black Hills Knowledge Network is eager to archive the Spearfish Area Historical Society program videos on their website as it is a fit with their mission.  Dennis Walkins moved that the historical society programs video-taped in the past and future should be archived on the Black Hills Knowledge Network after each presenter signs a release form.  The move was seconded and all approved.   The draft release form was reviewed and will be updated by Linda Wiley to add the name of the program, a statement including heirs, and allowance for power of attorney (if presenter is not able to sign the release form).  

No further volunteers from the greater membership group were added to the subcommittee to design and install information panels for Spearfish area historical sites.   The subcommittee volunteers are:  Linda Wiley, Bart Trucano, Laurie Hayes, Rand Williams and Dennis Walkins.  Linda Wiley will lead the group and set up the first meeting.

Everyone is encouraged to go to the new Facebook page for the Spearfish Area Historical Society to "like" the page.
  
NEW BUSINESS
 Since our May general meeting is approaching, Rand Williams asked which of the directors will end their three-year term.  Linda Wiley will review the past minutes and report on the status.

Don Mattheson will check with Darlene Mattheson to verify her status for the coming year as head of the call tree.

Rand Williams will check with MaryAnn Huffman to verify her status as head of the refreshment committee.  A suggestion was made to groom someone with MaryAnn this year.

Board of Directors Meeting

All SAHS Board of Directors were present:  Rand Williams, Don Simons, Dorothy Honadel, Linda Wiley, Laurie Hayes, John Ladson, Leo Orme, Don Matthesen, Bart Trucano and Dennis Walkins.   Bart Trucano and Dennis Walkins were introduced as the new board members joining the group.

OLD BUSINESS
Linda Wiley displayed the 4' Spearfish Area Historical Society banner.   An 8' banner was also originally approved but, after discussion, it was decided to  1) place the first banner permanently at the Spearfish Senior Citizen Center  (Rand will pursue this) and  2) design a second 4' banner for use when setting up for community functions.    The deep blue background and yellow lettering will be used for subsequent banners but new "old" photos will be needed.

First steps were discussed on how to design and install information panels for Spearfish area historical sites.   It was decided to set up a sub-committee and to invite anyone from the SAHS membership to join at the Dec. 1 meeting.   Board members Linda Wiley, Bart Trucano, Laurie Hayes, Rand Williams and Dennis Walkins volunteered to be on the Information Panel committee.   Dorothy Honadel will obtain the template/ example that the city of Spearfish historical preservation group used and also check with that group to see if they have any objections to our project.

It was noted that the upcoming general meeting on May 3, 2016 will be held at the old Passion Play ampitheater for the topic "The Development of the Ampitheater", with Paul Higbee as speaker.

NEW BUSINESS
Corbin Alley contacted the SAHS wanting to set up a 20 to 25 meeting with SAHS members to discuss his interest in a Black Hills movie.  He is soliciting individuals for props, costumes or investment in his project.  It was decided to decline as the intent does not fit our non-profit educational charter.

Dorothy Honadel will ask Dora Jean Garlick to add, on post-it paper, "SAHS Board Member" to the name tags of the board members so that members can ask questions or give suggestions to the board.

Laminated table "talkers" inviting guests to become SAHS members were discussed.   Linda Wiley will develop a draft design and send it out to the board.

Linda Wiley will prepare a list of past program topics, presenter, and date presented to be laminated and posted at the Spearfish Senior Citizens Center if possible.

Dennis Walkins volunteered to join the Membership Committee.  Linda Wiley will prepare an updated list of committee members including the call-up committee for the next board meeting.   

Linda Wiley will investigate setting up a Facebook page for the SAHS for posting to advertise each program and one posting following the meeting.

Rand Williams will ask at the Dec 1 meeting if anyone is in need of rides to get to the program meetings.  From the response, we will determine if any type of carpooling needs to be set up.

OLD BUSINESS
Members brought photographs to potentially include on the 4' SAHS banner being designed.  The deep blue background and yellow lettering will be used.  This banner will be used for area events where the SAHS wants to set up a table.  It was suggested that we could also temporarily loan it to the city for the City Hall or Grace Balloch Memorial Library.  After reviewing photos, one photo of downtown Spearfish and one of Jackson St area were selected as the key photos.   Photos of a barn and a brick industrial building were also requested to add to the banner if more are needed to balance the space.   Laurie Hayes and Linda Wiley will work with QuikSigns to finalize the banner.  A motion was made for the selections above, seconded, and all voted in favor.  

Linda Wiley and Leo Orme reported on possible archiving of SAHS programs through Black Hills Knowledge Network's website.   Leo stated that the programs are already on digital format.   Callie Tysdale from Black Hills Knowledge Network has confirmed that they would like to work with us to put access to the digital programs on their website.  Leo Orme stated that we should have each of the presenters sign a disclosure form.  He also suggested that we copyright the programs with the State of SD.   More investigation is needed to get a disclosure from and understand the copyright.  Leo also stated that we could give a DVD of each program to the Grace Balloch Memorial Library.

NEW BUSINESS
Leo Orme and Don Simons will be ending their 3-year term on the board.  Rand Williams will contact them to see if they wish to re-up for another 3 years.   We could add a couple more board members anyway, so Rand will ask Bart Trucano, who had previously expressed interest.  Another person to potentially ask is Dennis Walkins.

Dorothy Honadel will request that Dora Jean Garlick make a copy of the final membership list in Sept for each of the board members based on membership.  

An announcement will be made on May 5 in the General Meeting that anyone not paid up for dues since 2014 will be removed from the membership list and their name tag removed.  They will also no longer get a call pre-notifying them of meetings.

A motion was made to purchase a 4' banner and an 8' banner for "Spearfish Area Historical Society" to use for meetings and for information events.   Linda Wiley will design the banner and have Laurie Hayes edit it.  The motion was seconded and all approved.

Rand Williams suggested that we could have a special field trip of the now-closed Spearfish Passion Play site.   After some discussion, the group decided that keeping with the first Tuesday of June would be the best date -- June  2 at 7:30pm.   Rand will check with Paul Higbee and other past Passion Play employees to see if they will be tour guides for the property.   Coffee and cookies would be provided.  Anyone who wants to come would be would admitted for the price of $10 which would pay for their 2015-16 membership.   Lifetime members would be automatically admitted.   Details will be reviewed again in the next board meeting to be held in May.

Another suggestion was made to provide information panels for Spearfish area historical sites.   Some of those sites could be the old stage step off Main St., the Snapper Club building, and the location of Native American camp(s) along Spearfish Creek.   The information panels could be purchased as metal signs with poly -wrap signage.   We could strive for three panels for the 2015-16 year.

Laurie Hayes reviewed possible topics for the 2015-16 programs and the board members discussed those plus offered a few more suggestions

The group also discussed ways to archive Leo Orme's video DVDs of the SAHS programs.   Leo has been giving copies to Dorothy Honadel.  Linda Wiley also has a copy of the 2013 programs.  Linda Wiley will investigate the Black Hills Knowledge Network to see if this non-profit organization can archive the DVDs digitally.   It was also discussed to put a copy in the history room of the Grace Balloch Memorial Library.

Linda Wiley will contact Larry Miller to order a program card after all of the program are confirmed.

Board of Directors Meeting
Nov 12, 2013

SAHS Board of Directors present were Rand Williams, Leo Orme, John Ladson, Lonni Jenkins, Dorothy Honodel and Linda Wiley.   Dora Jean Garlick and Larry Miller also were in attendance.

OLD BUSINESS

Rand Williams reported that the wooden cabinet from the BHSU president's house was declined because the Spearfish Senior Citizens Center had no space for it.

NEW BUSINESS

Larry Miller proposed a project for the historical society to support and submit grant requests to plan, write and film a video of the history of Spearfish's hydro-electric plant.   Larry and the Historical Preservation Committee will assist in writing the grants.  The estimated cost needed is $15,000 to 18,000 and $3,000 has already been committed by the State of SD.   A motion was made, seconded, and all approved for Spearfish Area Historical Society, in collaboration with the Spearfish Historical Preservation Committee, to request funds through grants as a 501(c)3 entity for a 30 minute video of the history of Spearfish's hydro-electric plant.

Lonni Jenkins reported that 39 of 78 membership dues (couples counted as one) are past due and offered a couple of ideas:  1) share information with the general group about how our money is spent and 2) for past due members, write the date they last paid on the back of their name tag.    Dorothy said she could give the Treasurers Report and that would update the group on money spent.  The group agreed that the date on the back of the name tag is a good place to start, along with a reminder comment 2 to 3 times per season for people to pay their dues.

Leo Orme reported that purchase of a projector for SAHS would cost about $500.   The need for a screen was discussed and it was proposed, seconded and approved for $700 for Leo Orme and Linda Wiley to purchase a projector and screen. 

Two receipts for reimbursement to Linda Wiley for 125th Anniversary costs were presented to the Treasurer and approved.   One receipt was from QuikSigns for $27.47 for the Train Poster and one from TLC Cleaners for $10 for dry-cleaning two dresses from the students down-town walk.

Laurie Hayes is stepping down as Program Scheduler, starting next season (Sept 2014) and a replacement is needed.   A suggestion was made to ask Laurie to describe how she develops the program at the next general meeting.   If a replacement cannot be found, we may need to replace Laurie with a Program Committee.

NEW BUSINESS

Callie Houghton and Alyce Schavonne have resigned from the board.  Cheryl Miller has agreed to join the board and her nomination will be addressed at the next general meeting on Sept 3, 2013.

A glass and wood display cabinet may be available for free from the BHSU President's Home currently for sale.  Rand will investigate further on the size of the cabinet.  It was discussed that the cabinet could be used to display photos and other SAHS information/memorabilia.

A projector is needed for SAHS program presenters.  Leo Orme will check into the model numbers of a basic projector.

Linda Wiley reviewed the Spearfish 125th Anniversary activities.

The Spearfish Area Historical Society meeting for January 8, 2013 was called to order by Rand Williams at the Spearfish Senior Citizen’s Center.   Approximately 65 people were in attendance.

Speakers, Paul Higbee and Betty Johnson shared history and stories of the Joseph and George Fassbender family and photo collection.

Rand closed the meeting.

December 4, 2012


The Spearfish Area Historical Society meeting for December 4, 2012 was called to order by Rand Williams at the Spearfish Senior Citizens Center.
Rand introduced the speaker, George Larson, a Rapid City writer.  George shared highlights of the history of Ellsworth Air Force Base.
After the presentation Rand turned the meeting over to Leo Orme to vote on the amendments to the By-Laws.  The amendments were introduced to the membership in the November 13, 2012 meeting. Since the November meeting had been moved from Nov 6 to Nov 13, the time between the Nov and Dec meeting was only 21 days. The By-Laws state that the amendments are to be presented to the members 30 days before they are to be voted on. A motion was made, seconded and passed to suspend that ruling so we could go ahead to vote on the amendments at the December 4 meeting.  The amendments were read and Leo asked for a vote. A motion was made and seconded to vote.  The motion passed.

November 13, 2012


The Spearfish Area Historical Society meeting for November 13, 2012 was called to order by Leo Orme at the Spearfish Senior Citizen’s Center.  Leo Orme introduced three amendments to the By-Laws and referenced the paper copies of these changes that were available in the room.  Leo stated that a vote on the By-Laws changes was planned for the December meeting.

1.     Change fiscal year from July 1st through June 30th to October 1st through September 30th.
2.     Dues will be due October 1st. Dues will be delinquent December 31st.  Dues paid durin ghte year will be for that fiscal year only.  Dues are not pro-rated.
3.     Checks less than $500 will require one signature only.  Checks over $500 will require two signatures.
Leo introduced the speaker, Linfred Schuttler
Linfred recalled the excitement and history created by the National Geographic high altitude balloon launch Explorer II from the Stratobowl just outside of Rapid City in the 1930's.  Schuttler described how folks congregated around the gondola that came down in a field not far from White Lake, South Dakota, and who had a nice close-up view of the craft before military personnel from Fort Meade arrived on the scene and moved them back from the site.
Few people in Spearfish have contributed as much to understanding and promoting history as Linfred Schuttler.  So, it was fitting that, following the presentation, Spearfish Mayor Jerry Krambeck should issue a proclamation designating November 13th, 2012 as Linfred Schuttler Day in Spearfish.  Schuttler's younger brother Ron joined his "big brother". The younger Schuttler also share a few poignant stories about his brother, whom he touchingly referred to as "my hero."  A cake was provided by the Spearfish Area Historical Society for Linfred and attendees.

OLD BUSINESS

The directors discussed whether to continue at the Western High Plains Heritage Center once the 3-month trial period has ended.  John Ladson reported that Prairie Hills Transit would charge $75 to pick up attendees at their homes or at the Spearfish Senior Citizens Center.  Concerns about the dark parking area were expressed and a motion was made to return to the Spearfish Senior Citizens Center for the winter months.  A committee was formed (Lonny Jenkins, Callie Houghton, and Tom Huffman) to look at longer-term options, collect comments, and investigate costs at Western High Plains Heritage Center.

A donation of $150 to the Western High Plains Heritage Center was moved and seconded.   Linda Wiley will obtain a thank you card.

A committee was formed (Leo Orme, Don Simons and Alyce Schavone) to review and re-write the by-laws to include the items below.  
-          Changing  the fiscal year back to the end of the year to keep it the same as the charter
-          Remove the statement about dues being due July 1
-          Requirement to have only one signatures on checks if amount of check is less than $500

Lonny Jenkins reported that the call list method is working well.  Thank you to all of the call list volunteers!

Laurie Hayes reported that the Pearson presentation for Feb 2013 will be replaced by Daniel Driscoll presenting “historic floods of the northern Black Hills”.

October 9, 2012

The Spearfish Area Historical Society meeting for October 9, 2012 was called to order by Rand Williams at the High Plains Western Heritage Center.  Rand introduced the guest speakers, Verne Sheppard, Jim Thompson and Larry Miller.  About 75 people were in attendance.
It was a trip down memory lane on Tuesday, October 9, 2012, when the three veteran broadcasters reminisced about the early days of radio and television across the Black Hills.

September 5, 2012

The first fall meeting of the Spearfish Area Historical Society was held on September 5, 2102 at the High Plains Western Heritage Center.   Rand called the meeting to order and introduced the guest speaker, Ivan Hovland. 
Ivan Hovland, who has been active with historical societies in both Spearfish and Lawrence county, blended together a collection of photographs and old newspaper stories to help tell dozens of stories about the role firearms played in Black Hills history. Ivan brought along a cache of pistols and rifles.

Since this was the first meeting of the Nominating Committee’s group of Board of Directors, a call was made for volunteer of officers, resulting in new officers for May 2012 to May 2013:

NEW BUSINESS

Change in Bylaws:  Bylaw changes were developed in April 2012 to be voted on in the Oct 2012 general meeting.    An issue was discussed that the revised bylaws should match the dates in the organizations’ charter.  The fiscal year wording will be reviewed by the original group writing the changes.

Committees Definition:  Committee functions were developed and volunteers named to those committees for the coming year.   With more volunteers,  the organization will become more dynamic and will continue to grow.

Next meeting:   It was proposed to leave it open if the Board of Directors needs to meet again before Sept.  The committees can meet if needed.
